Safer Highways Inc ("we", "us") provides DOT compliance, drug & alcohol consortium and background-check management services to commercial motor carriers through our web portal at saferconnected.com (the "Service"). This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
Carrier clients enter information about their company, drivers and vehicles into the Service, including names, contact details (email address and mobile phone number), driver's license and medical certificate details, DOT testing records, vehicle registration data and uploaded documents. When you use the Service we also collect technical data such as IP address, browser type and access times, and records of documents you upload or sign electronically (including the date, time and IP address of a signature).
How we use information
We use information solely to deliver the Service: tracking document expirations, preparing filings, generating compliance reports, requesting document uploads and electronic signatures, sending account notifications, and providing customer support. We do not sell personal information and we do not use it for advertising.
Text messaging (SMS) privacy
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile phone numbers and text-messaging opt-in data are used only to send the compliance notifications described in our SMS Terms and are never sold, rented or shared with any third party for their own use. Information may be shared with subcontractors that help us deliver messages (for example, our SMS and email delivery providers) solely to perform that function, and with the carrier that employs you, who is our client and the controller of your driver record.
Sharing
We share information with: (a) the carrier client that enrolled you, (b) service providers acting on our behalf (cloud hosting, email and SMS delivery, document storage) under confidentiality obligations, (c) government agencies where required by the Federal Motor Carrier Safety Regulations or by law, and (d) roadside inspectors, but only the vehicle documents a carrier has chosen to publish to a unit's inspection QR code.
Retention and security
Records are retained for as long as required by 49 CFR Parts 382, 391 and 396 and our client agreement, then deleted. We protect information with encryption in transit, encrypted storage, two-factor authentication for portal users, and access controls that restrict data to the client company it belongs to.
Your choices
You may opt out of text messages at any time by replying STOP. Drivers may ask their employer to correct or delete their information; carrier clients may request export or deletion of their account data by contacting us. You may contact us about this policy at support@thesaferteam.com.
